High school diploma or equivalent education required
Proven office admin experience or similar role
Outstanding communication and interpersonal abilities
Works well with others
Ability to problem solve
Ability to multi-task
Proficiency in MS Office including Microsoft Word, Excel, and Outlook
Preferably- experience with Quick books Desktop
Excellent organizational and leadership skills
Familiarity with office management procedures and basic accounting principles
Must be able to pass drug test
Valid NYS Driver’s License and have own transportation
Pay based on knowledge / experience
Carry out clerical duties such as greeting visitors, answering phone calls, responding to emails, preparing documents, opening or preparing mail, etc.
Carry out administrative duties such as filing, typing, copying, binding, scanning etc.
Exhibit polite and professional communication via phone, e-mail, and mail.
Support bookkeeping by handling vendor payables and receipts.
Track and replace office supplies and print-outs as necessary
Maintain office services by helping organize office operations and procedures while maintaining an efficient, productive, and positively cultured office and employee experience
Create and update records and databases with personnel, financial and other data
Manage employee benefit programs- inform employees of benefits, enroll and de-enroll employees in programs, study and assess benefit needs and trends.
Track employees’ time off, birthdays, work anniversaries, 90 day probation period dates on Outlook
Maintain general office files, including job files, vendor files, and other files related to the company’s operations.
Assist in year-end tasks – organizing files, gathering audit information, etc.
Assist colleagues whenever there is an opportunity.
