Office Administrator

Requirements:

  • High school diploma or equivalent education required

  • Proven office admin experience or similar role

  • Outstanding communication and interpersonal abilities

  • Works well with others

  • Professionalism

  • Ability to problem solve

  • Ability to multi-task

  • Proficiency in MS Office including Microsoft Word, Excel, and Outlook

  • Preferably- experience with Quick books Desktop

  • Excellent organizational and leadership skills

  • Familiarity with office management procedures and basic accounting principles

  • Must be able to pass drug test

  • Valid NYS Driver’s License and have own transportation

  • Pay based on knowledge / experience

Job Tasks:

  • Carry out clerical duties such as greeting visitors, answering phone calls, responding to emails, preparing documents, opening or preparing mail, etc.

  • Carry out administrative duties such as filing, typing, copying, binding, scanning etc.

  • Exhibit polite and professional communication via phone, e-mail, and mail.

  • Support bookkeeping by handling vendor payables and receipts.

  • Track and replace office supplies and print-outs as necessary

  • Maintain office services by helping organize office operations and procedures while maintaining an efficient, productive, and positively cultured office and employee experience

  • Create and update records and databases with personnel, financial and other data

  • Manage employee benefit programs- inform employees of benefits, enroll and de-enroll employees in programs, study and assess benefit needs and trends.

  • Track employees’ time off, birthdays, work anniversaries, 90 day probation period dates on Outlook

  • Maintain general office files, including job files, vendor files, and other files related to the company’s operations.

  • Assist in year-end tasks – organizing files, gathering audit information, etc.

  • Assist colleagues whenever there is an opportunity.
